Before you record

Tell everyone that audio is being captured and obtain every consent required by federal and state law, workplace policy, contract, and meeting-platform rules. Some U.S. states and situations require every participant to consent. Do not capture confidential, privileged, or personal information unless you are authorized to do so. See the recording terms.

Quick setup checklist

Download from your dashboard. Create an account or sign in, then download the latest Windows ZIP.
Extract the entire ZIP. Keep the executable and bundled DLL files together in a writable folder such as Documents\HiddenPro AI. Do not run the executable from inside the ZIP.
Verify the publisher. On Windows, open file Properties → Digital Signatures and confirm the Tachara LLC signature before running the app.
Start normally. If Windows blocks global shortcuts or audio capture, close the app and use Run as administrator if your organization permits it.
Allow only the app. If antivirus, EDR, or Windows Firewall blocks HiddenPro, allow the extracted folder or executable. Do not disable system-wide security controls.
Test before a meeting. In Settings, select the correct microphone and speaker device, then make a short recording and screenshot test.

HiddenPro requires an internet connection for sign-in, speech transcription, AI responses, screenshot analysis, billing checks, and updates. Local notes remain readable without uploading them again.

Accounts, trial, and plans

Anonymous desktop trial: 5 lifetime queries per device or installation.
Free account: 5 lifetime account queries and access to the Windows download.
Premium: 500 queries during the 30-day access period for $10/month, unless checkout clearly displays a different offer.
Renewal: the standard 30-day purchase is one-time and does not auto-renew. If checkout explicitly identifies an offer as a subscription, its displayed renewal terms control.

The status bar and dashboard show plan usage. Use the same email and password on the website and desktop app.

Desktop window overview

Mic captures your selected microphone.
System Audio captures audio playing through the computer.
Meeting Notes records a live transcript and creates structured notes when stopped.
Screenshot captures the display under the pointer and stages the image.
Process Photo sends staged images and your optional question for analysis.
Settings controls audio, appearance, work context, shortcuts, history, updates, and feedback.
Logout ends the signed-in session; Minimize sends the window out of the way.

Typed prompts and AI answers appear in the separate Output Window. Enter sends a prompt; Shift+Enter inserts a new line. The recent-questions list keeps up to five prompts from the current session.

Meeting Notes

Tell participants and obtain the required permission to record or transcribe.
Choose the correct playback device in Settings and play a short test sound.
Click Meeting Notes or press Ctrl+Shift+N. The button changes to Stop and live transcript text appears.
Click Stop when the meeting ends. HiddenPro sends the transcript for AI summarization.
Review the generated overview, key points, decisions, and action items. Correct names, dates, owners, and figures before sharing.
Copy the result or review the saved entry in Settings → Meeting History.

Long transcripts are summarized in sections and combined. Speech recognition can miss quiet voices, overlapping speakers, accents, names, and specialized vocabulary. HiddenPro does not assign reliable speaker identities unless the transcript itself makes them clear.

Mic and System Audio

Mic

Click Mic or press Ctrl+Shift+R to capture your selected microphone. Audio is divided into short segments and sent for transcription. Raise sensitivity or gain only when speech is too quiet; too much gain causes clipping and worse transcripts.

System Audio

Click System Audio or press Ctrl+Shift+O to capture computer playback from meetings, webinars, or videos. Select the device that is actually playing sound. Bluetooth headsets can expose separate playback and communications devices, so test both if the transcript stays blank.

Detected questions

During Mic or System Audio capture, HiddenPro may identify a question and display a suggestion. Accept sends it for an AI response; Skip dismisses it. Detection and auto-answer settings are aids, not guarantees. Do not use them for an exam, interview, certification, or assessment where outside assistance is prohibited or must be disclosed.

Screenshots and image analysis

Move the pointer to the display you want to capture.
Click Screenshot or press Ctrl+Shift+S. A thumbnail appears.
Optionally type a question. You can stage up to five screenshots for one run.
Click Process Photo or press Ctrl+Shift+D.

Remove one image with its X or use Clear All / Ctrl+Shift+Backspace. After a successful analysis, staged files are removed automatically. After a failure, they remain so you can retry. Review the screen before capture so passwords, private messages, customer data, and unrelated windows are not included.

Output Window

The Output Window shows live transcript text, detected questions, typed prompts, and formatted AI responses.

Copy puts the visible text on the clipboard; Clear clears the current view.
Font controls adjust family, size, bold, and italic formatting.
Window size, position, opacity, and light/dark theme are saved locally.
The Windows capture-protection option attempts to exclude HiddenPro windows from common screen-capture tools, but it is not guaranteed to work with every app, Windows version, or capture method.

Default keyboard shortcuts

Change these under Settings → Keyboard Shortcuts. Global shortcuts may require elevated permission or may conflict with another app.

Settings

Work context / professional profile: optional local text sent with relevant AI requests to personalize output.
Audio: microphone and speaker device, sensitivity, Quiet/Balanced/Loud profile, gain, noise suppression, and speech-to-text model.
Answers: short or detailed style and preferred programming language.
Appearance: light/dark theme, opacity, and window placement.
Privacy: best-effort exclusion of HiddenPro windows from screen sharing.
Billing and updates: current plan, usage, access period, and latest application release.
Meeting History: review or clear the locally displayed session history.

Local files and privacy

The portable Windows app writes files in or near its extracted folder, including:

api.log — rotating diagnostic log with automatic secret-pattern redaction;
session_history.jsonl — bounded local session, question, response, and meeting-summary history;
meeting_notes\ — local meeting transcript and summary records when saved;
temp_screenshots\ — staged screenshots awaiting processing or retry;
voice_recording.wav — the latest saved recording produced by voice capture; and
Windows application settings and optionally saved sign-in data protected with Windows DPAPI where available.

Clearing the visible Meeting History does not necessarily remove every file listed above. To fully remove local content, close HiddenPro, review its extracted folder and Windows app settings, and delete the specific files you no longer need. Do not delete bundled DLL files unless you are removing the entire app.

Prompts, relevant context, screenshots, audio segments, and transcripts are transmitted online when needed for OpenAI transcription or AI output. Read the Privacy Policy for the complete data-flow description.

Troubleshooting

Windows SmartScreen or antivirus blocks the app

Confirm the ZIP came from your HiddenPro dashboard and verify the Tachara LLC digital signature.
Extract the full ZIP before launch.
If permitted, choose More info → Run anyway or allow only the HiddenPro folder in your security product.
Do not disable Windows Defender, Firewall, antivirus, or organizational EDR for the whole computer.

Microphone transcript is blank or inaccurate

In Windows Settings → Privacy & security → Microphone, allow desktop apps to use the microphone.
Select the exact device in HiddenPro Settings and click Refresh after connecting a headset.
Check the Windows input meter, reduce excessive gain, and move closer to the microphone.
Close other apps that hold the microphone exclusively, then restart HiddenPro.

System Audio hears nothing

Play audible sound before starting capture and select the active output device.
Try the headset’s playback device rather than its hands-free communications device.
Restart HiddenPro after changing Windows output devices.
Run as administrator only if normal launch cannot access capture and your organization permits it.

Screenshot fails

Stop active voice capture, then try again.
Check that the extracted app folder is writable.
Some protected video, remote-desktop, or administrator windows cannot be captured by Windows.

Login, AI, or query status fails

Confirm internet access and that the system clock is correct.
Sign in to the web dashboard to verify the password, plan, and remaining queries.
Log out and back in to refresh the desktop session.
Allow HiddenPro through Firewall rather than disabling Firewall.

Global shortcuts do not work

Change the conflicting binding in Settings.
Some elevated apps will not receive shortcuts from a non-elevated HiddenPro process; launch both at the same privilege level.

Updates and safe downloads

Use Settings or the dashboard to check for updates. Automatic installation is accepted only for HTTPS downloads with a published SHA-256 checksum. Download builds only from hiddenproai.online, verify the Tachara LLC signature, and keep your local notes backed up before replacing the portable folder.

Support

Email info@hiddenproai.online and include:

HiddenPro version and Windows version;
the feature you used and the exact error message;
whether normal launch or Run as administrator was used;
the selected microphone or playback device; and
relevant lines from api.log.

Review logs and screenshots before sending them. Although secret-like values are redacted automatically, diagnostic files may still contain email addresses, prompts, transcripts, responses, file paths, or other personal and confidential information. Send only what support needs.
